Challenge:

The organization needed a scalable way to distribute customized reports to each cost center head, clearly detailing their committed and incurred expenditure. However, the available solution developed by the IT department proved too expensive to maintain and extend.

As a result, cost center heads could only view aggregated totals in the accounting system, with no visibility into the underlying transactions. This made it difficult to determine how much of their budget was already committed, hampering their ability to manage spend proactively.

While a manual workaround was technically possible, it would have required significant labor and time to generate tailored reports for each cost center—an approach that was neither sustainable nor efficient at scale. The business needed a faster, more cost-effective solution that could deliver detailed, customized reports with minimal manual intervention.

Solution:

To overcome the limitations of cost and manual effort, the organization implemented an automated solution using Solvexia to generate and distribute customized reports for each cost center head. The system consolidates and validates eight input files—including three optional sources—and automates all data preparation and formatting.

Once the source files are uploaded, the process runs with the click of a button, generating tailored reports and emailing them directly to the appropriate recipients. With 270 steps fully automated, the solution eliminates the need for IT involvement or time-consuming manual labor, and is designed to scale effortlessly across the business—even supporting multiple companies within the group.

Results:

What was once a nonviable manual task is now a fast, repeatable process. The team now produces 14 detailed reports in just 40 minutes, with each additional report taking less than two minutes to generate. This level of efficiency ensures that cost center heads receive timely and detailed insights into their committed expenditure each month—something that wasn’t possible before.

The process is now fully scalable, unlocking further return on investment as it is rolled out across more entities within the group. Most importantly, the automation empowers decision-makers with better financial visibility while freeing up valuable time and resources.
