
The customer is a group of travel management companies with combined turnover of more than $1 billion. Operating under a shared commercial model, they collaborate on supplier agreements and centralize certain financial processes while maintaining independent day-to-day operations.
The group faced a complex and time-consuming challenge in managing commission allocations. Commissions from airlines, hotels, and car hire companies were paid centrally to the group, but needed to be fairly and accurately distributed to individual member agencies based on the irrespective performance.
Before automation, this process took two full days and was out sourced to an external accounting firm. It involved extensive manual manipulation of Excel spreadsheets, which made it difficult to scale as the group grew and new agencies or suppliers were added. The lack of automation also introduced significant risk of human error—mistakes in the calculations could result in incorrect payments, creating downstream issues with partner trust and financial accuracy.
To streamline the commission allocation process, the group implemented an automated solution using Solvexia. The system collects commission data from multiple suppliers, calculates each member agency's share based on revenue performance, and generates tailored invoices for distribution.
All business logic and allocation rules are embedded within the automation, ensuring transparency and accuracy. The solution also includes built-invalidations to flag inconsistencies and reduce the risk of calculation errors.
The end-to-end process now runs in under two hours, replacing what was previously a two-day manual task. With 50 steps fully automated, the group can allocate commissions for approximately 50 member agencies, pulling data from up to 30 different suppliers in each cycle.
The solution is also infinitely scalable—new agencies and suppliers can be onboarded in minutes without IT support. In addition to increased accuracy and consistency, the automation has eliminated the need for external accounting support, saving valuable time and costs every month.
